What a missed call actually costs a trades business
You can't answer the phone in a roof cavity. But every unanswered call is a coin-flip on a job — here's the maths, and the fixes ranked by effort.
Here's an uncomfortable exercise. Check your phone's call history for last week and count the missed numbers you didn't recognise.
Some were spam. But the ones that weren't? Those were probably jobs. And research on consumer behaviour consistently finds that a large share of callers who reach voicemail simply don't leave a message — they call the next listing.
The napkin maths
Say you miss five unknown calls a week. Assume conservatively that two were genuine enquiries, and you'd have won half of those at your average job value. That's one lost job a week — multiply by your average invoice and by 48 working weeks, and the number gets unpleasant fast.
Your figures will differ. The point of the exercise is that the cost is invisible — missed calls don't show up in any report — but it's real, recurring, and fixable.
The fixes, ranked by effort
1. A proper voicemail (free, 5 minutes). "Leave a message" loses to "Text me the word QUOTE and I'll get back to you within the hour, or use the form at flostate.au." Give callers an action, not a void.
2. Missed-call text-back (the sweet spot). The moment a call rings out, the caller automatically gets a text: "G'day, you've reached [your business] — on the tools right now. Reply here with what you need and I'll come back to you today." The customer feels handled within seconds, and the conversation moves to text, which you can answer from a roof cavity. This is a small automation to build and it pairs naturally with enquiry intake.
3. An AI receptionist (when volume justifies it). For higher call volumes, an AI agent can genuinely answer, take job details, and book a callback slot. The technology is good now — but it's the third rung, not the first. Most trades get the bulk of the value from text-back at a fraction of the complexity.
Start with the boring fix
It's tempting to jump straight to the AI receptionist because it's impressive. Resist. Fix voicemail today, add missed-call text-back this month, and revisit the receptionist when your call volume makes it worth it.
